Privacy Policy

Effective May 2026

DealerShare (“DealerShare,” “we,” “us”) operates a B2B inventory trading platform for franchise automotive dealerships. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to dealers and their authorized users (“you”) when accessing dealershare.com or our applications.

01.Information We Collect

Account & dealership information. When you apply for or activate an account, we collect business contact details (name, email, phone), dealership identifying information (group, rooftop, address, franchise brands, dealer license number), and authorized user roles within your dealership.

Inventory data. We ingest vehicle inventory you choose to share with the platform — typically through your IMS (vAuto, etc.) or via a direct upload — including VIN, year/make/model/trim, mileage, condition, photos, and pricing. You control which listings are visible network-wide via the status flags on your inventory page.

Activity data. We log searches, views, watchlist actions, offers, counters, deal messages, payments, shipping bookings, and document signatures so that deal history, audit trails, and platform analytics work correctly.

Technical data. Standard server logs (IP address, browser, device type, request timestamps) and a session cookie for authentication. We do not use third-party advertising trackers.

02.How We Use Your Information

We use the information described above to:

  • Operate the platform — match buyers with sellers, route offers, manage deal lifecycles, coordinate paperwork and logistics.
  • Authenticate users, enforce role-based permissions, and detect abuse or unauthorized access.
  • Send transactional notifications (new offers, counter received, deal accepted, payment confirmations) via the channels you select in your notification preferences.
  • Improve product features and search relevance using aggregated, de-identified usage patterns.
  • Comply with legal obligations and respond to lawful requests.

We do not sell your personal information or your inventory data to third parties.

03.How We Share Information

Other dealers. Inventory you mark as shareable is visible to other authorized franchise dealers on the network. Deal threads (offers, counters, messages, documents) are visible to the buyer and seller dealerships party to the deal.

Service providers. We share information with vendors who help us run the platform — hosting (Vercel, Supabase), market data (MarketCheck), payments and identity verification, email and SMS delivery, error monitoring. These providers are bound by contract to use information only to provide the contracted services.

Legal & safety. We may disclose information when required by law, in response to valid legal process, or to protect the rights, property, or safety of DealerShare, our users, or the public.

Business transfers. If DealerShare is acquired or merges with another company, your information may transfer as part of that transaction, subject to this Policy.

04.Cookies & Similar Technologies

We use a small number of cookies and equivalent storage mechanisms strictly to keep you signed in, remember your session preferences, and protect against cross-site request forgery. We do not use cookies for cross-site advertising or behavioral tracking.

05.Data Security

We use industry-standard safeguards including encryption in transit (TLS), encryption at rest for sensitive fields, isolated tenant data scoping, JWT-based session management, and audit logging on deal-relevant actions. No system is perfectly secure; we encourage you to use a strong unique password and enable any additional account-protection features as they become available.

06.Data Retention

We retain account and deal-history data for as long as your dealership maintains an active subscription, plus a reasonable period thereafter to support audit, dispute resolution, and legal compliance. You can request deletion of your individual user account at any time; deal records involving your dealership may be retained in aggregated or counterparty-required form.

07.Your Choices & Rights

Depending on your location, you may have the right to access, correct, port, or delete personal information we hold about you. You can manage notification preferences, control which inventory is visible on the platform, and remove individual user accounts within your dealership at any time from your account settings.

For requests we cannot fulfill from within the product, email us at the address in Section 10 below and we'll respond within a reasonable time.

08.Children's Privacy

The DealerShare platform is intended exclusively for use by authorized employees of franchise automotive dealerships. We do not knowingly collect information from anyone under 18.

09.Changes to This Policy

We may update this Privacy Policy as the platform evolves. Material changes will be communicated through the in-app notification system or by email to your administrative contact at least 14 days before they take effect.
